The Lettings Process for Tenants


The team here at Warren Estate Agents will be as flexible as possible, helping you view properties at a convenient time. If you’re not free during office hours, please let us know and we’ll work around your schedule. Please note that most of our properties are occupied at any one time, so we will usually need to give the occupants as much notice as possible for viewings.


Once you have chosen a suitable property, you will be asked to complete an Offer Form, which we shall submit to the landlord. We also ask potential tenants to declare any special conditions or requests at this stage, so that these can be included in the negotiations. Should any requests be made after the offer has been agreed, we cannot guarantee their acceptance.

Holding Deposit

When an offer has been accepted by the landlord, you will be required to pay a holding deposit (equivalent to a week’s rent) to demonstrate your good intent, allowing you to proceed with the tenancy. The holding deposit may be non-refundable if you withdraw from the rental, provide false or misleading information or if you fail a Right to Rent check.

Security Deposit

A security deposit (worth five weeks’ rent when the annual rent is less than £50,000 and six weeks’ rent where the annual rent is above £50,000) will be payable prior to the start of the tenancy and will be held by Warren in our Client Account for the duration of the tenancy. If your landlord requests to hold your deposit, you will be notified in advance. All deposits held by Warren Estate Agents are insured with My Deposits, a Government-accredited deposit company.


You will be required to pass referencing before you can begin occupancy. You will be required to complete a referencing application form, which will be passed to a company called Let Ref for processing.


We will draw up an Assured Shorthold Tenancy Agreement, which will be sent out to you shortly after your offer has been accepted.


We accept payments by bank transfer direct to our Clients Account. We can also accept payment by cheque, as well as bankers draft or building society cheque, but please be advised we require a minimum of seven working days for a personal cheque to clear. We will provide our bank details upon request. Please ensure that all transfers clearly show either your name and/or the property address as a reference, to enable it to be allocated to your file.
