The Lettings Process For Tenants


The team here at Warrens will be as flexible as possible to enable you to view properties at a convenient time. Should you not be able to view during office hours, please let us know and we will try to work around you. Do bear in mind that most of our properties are occupied so we need to take this into consideration and give the occupants as much notice as possible.


Once you have chosen a suitable property you will be asked to complete an Offer Form which we shall submit to the Landlord. We also ask potential Tenants to fully outline all special conditions or requests at this stage so that these can be included in the negotiations. Should any requests be made after the offer has been agreed, we cannot guarantee their acceptance.

Holding Deposit:

When an offer has been accepted by the Landlord, you will be required to pay a holding deposit (normally equivalent to a weeks rent) to demonstrate your good intent to proceed with the tenancy. This amount will be non refundable should a Tenant withdraw their offer or should the references prove unsatisfactory. If the Landlord withdraws, the deposit is fully refundable. In the eventuality that the tenancy proceeds, the deposit will be deducted from the initial moving in money.

Security Deposit:

A security deposit of (normally) the equivalent of six weeks rent will be payable prior to the commencement of the Tenancy and will be held by Warren in our Client Account for the duration of the Tenancy. Should your landlord request to hold your deposit, you will be notified in advance. All deposits held by Warren are insured with My deposits (www.mydeposits.co.uk), a Government accredited deposit company.  


*An administration fee of £180 inc VAT per person is payable by all tenants prior to the commencement of the Tenancy. This includes the referencing process and Tenancy Agreement. 

*Should an applicant require a guarantor an additional £150 inc VAT will be charged which includes the Guarantor agreement .

*A checkout fee at the end of the tenancy will be payable by the tenant to the Inventory Clerk. The rough cost ranges from £100 inc VAT for a studio flat to £250 inc VAT for a five bedroom house. (further details provided at offer stage or upon request). 

*A change of tenant during tenancy is charged at £250 inc VAT which includes the referencing process and Tenancy Agreement. 

* Tenants will be required to have the Property professionally cleaned at the end of the Tenancy. The rough cost ranges from £200 inc VAT (inc carpets) for a one bedroom flat to £550 inc VAT for a five bedroom house. (further details will be provided and upon request).  

* Should a tenant request to end the Tenancy not in accordance with the terms of the Tenancy Agreement, and with the Landlords agreement, a Deed of Variation will be drawn up and signed by all parties. The cost of drawing up and executing the aforementioned Deed is £180 inc VAT which is payable by the tenant. 


You will be required to pass referencing before you can take occupation. You will be required to complete a referencing application form which will be passed to a company called Let Ref for processing. The cost of this is included in the administration fee.


We will draw up an Assured Shorthold Tenancy Agreement, which will be sent out to you shortly after your offer has been accepted. The cost of this is included in the administration fee.


We accept payment by bank transfer direct to our Clients Account. We can also accept payment by Cheque or Bankers Draft/ Building Society Cheque, but please be advised we require a minimum of 7 working days for a personal cheque to clear. We will provide our bank details upon request. Please can you ensure all transfers clearly show either your name and/or the property address as a reference to enable it to be allocated to your file.
